Privacy policy
How we handle your data
Volunteer Aware collects as little personal data as possible. We do not track you with analytics or advertising cookies and we never sell anything on. Below you can read exactly which data we do use, why, and what your rights are.
Version 1.0, updated on 19 October 2026
1. Who is responsible
Volunteer Aware is responsible for the processing of personal data through volunteeraware.nl. You can reach us at info@volunteeraware.nl.
Volunteer Aware was set up by the people behind The Power of Sport and Doingoood. Data you send to Volunteer Aware is only used for Volunteer Aware and not for the activities of those organisations.
2. Which data we process and why
We only process data you give us yourself:
- Contact form and email. Your name, email address and your message. We use them to answer your question. Legal basis: our legitimate interest in answering questions.
- Requesting a review. Your name, email address, the name and website of your organisation and your explanation. We use them to handle the request and contact you. Legal basis: legitimate interest.
- Report page. The organisation concerned, your report and possibly a link. Your name and email address are optional. If you fill them in, we only use them to handle your report and let you know what we did with it. Legal basis: legitimate interest and your consent.
- Logo licence. The name and contact details of the contact person and the invoicing details of the organisation. We use them to carry out the licence and to invoice. Legal basis: performance of the agreement and our legal retention obligation.
We do not use your data for newsletters or advertising, unless you explicitly ask for it.
3. Data about organisations
We review organisations, not people. For that we only use information an organisation itself makes public, mainly on its own website. When reviewing we use artificial intelligence, which reads the public website of an organisation.
Sometimes a quote does contain the name of an employee or founder, because that is how it appears on the organisation’s website. If you do not want your name on our site, email info@volunteeraware.nl and we will remove it.
4. Cookies
Volunteer Aware does not use analytics cookies, advertising cookies or tracking. That is why you do not see a cookie banner on our site.
We only use cookies that are needed for the website to work:
- a cookie that remembers the language you view the website in (pll_language, up to one year);
- login cookies, only for administrators of the website.
We count visits to the website anonymously, using the plugin Independent Analytics. It does not use cookies and does not store IP addresses. The data stays on our own server and is not shared with other companies. We only see totals, such as how often a page was viewed and which website visitors came from. This tells us which information is useful, without tracking you.
The fonts of the website are hosted on our own server, so your browser does not contact Google for them. The website contains links to Instagram and Facebook. These are plain links: only when you click them do you go to those services, and their privacy rules apply.
5. How long we keep data
- Messages through the contact form and email: up to one year after your question has been handled.
- Review requests and reports: up to two years after they have been handled, so we can trace why a review was changed.
- Logo licence data: for as long as the licence runs, and invoicing data for seven years, because the law requires it.
After that we delete the data.
6. Who we share data with
We never sell your data and we do not share it with the organisations we review. Not even when you report something about an organisation, unless you ask us to.
We only share data with parties we need to run the website and our email, such as our hosting company and our email provider. We make agreements with these parties about the security and confidentiality of your data. Otherwise we only share data when the law requires us to.
We aim to process your data within the European Economic Area. If processing does take place outside it, we ensure appropriate safeguards, such as the standard contractual clauses of the European Commission.
7. Security
We take appropriate measures to protect your data against loss and unauthorised use. The website uses a secure connection (https), only administrators have access to submitted forms and we keep the website software up to date. If you think something is wrong with the security, email info@volunteeraware.nl straight away.
8. Your rights
You have the right to:
- access your data;
- have incorrect data corrected;
- have your data deleted;
- have the use of your data restricted;
- object to the use of your data;
- receive your data in a common file format;
- withdraw your consent, where we use your data on the basis of consent.
Send your request to info@volunteeraware.nl. We respond within one month. To avoid giving data to the wrong person, we may ask you to confirm your identity.
If you are not satisfied with how we handle your data, please let us know first. You always have the right to lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens, or with the supervisory authority in your own country.
9. Changes
We may change this privacy policy, for example when the website changes. The latest version is always on this page, with the date it was updated.
